Report: motion to approve June meeting minutes by Torrea – and Jen T. seconded. Approved
by all.
New BUSINESS:
Treasurer Report (Jen Thompson): report provided, funds that have yet to clear, others still
owe money, insurance policy was paid.
BACKGROUND CHECKS – Milana to complete!
Fall Registration update – 30 new participants on line, another 10 new physical
registrations. Last year we had a total of 48.
Parent Meeting/ Swim Suit Try-ons – Oct 1st – need to send a reminder blast to all the
parents asap. Topics of discussion with parents:
1). Prepare Schedule of Meets – Coach Jen to provide Jen T dates so we can make a
flyer
2). Fundraising items – ice skating, towel
3). Parent handbook reminder – available on the website
4). Explain volunteering – signing up for various roles
5). Meets – we usually fees – costs waived – explain the savings to the parents,
stress volunteering is important
6). Explain underwater cameras/Social media presence – will parents have any
issues?
7). T-shirt sizes for kids – if we are going to order these.
8). Prescription goggles – need to provide link/info for some new parents
9). Explain we bring food in – parents donate heavier food items – soda/water
10). Pick the date before the Classic for parents to be here to help unload the
car/trucks full of food.
11). Kids making banners prior to the Classic – it was well received last year.

Equipment issues – Coach Jen bought new finds/kickboards etc., used $1,600 so in the
future we might have to go out of pocket if we need more equipment.
Fundraising Ideas – some ideas were great, here are the highlights and picked by the
board:
VAC Beach Towels – great idea – order 48 total – will need kids names, sell for $36
each, they should cost $31 each and we need to look into shipping. We should sell these
on Oct 1st

  • deadline for the towel order by Oct 4? (should we do another blast to parents
    after Oct 1st in case they miss the parent meeting)?
    Swim themed Jibbits for crocs– Greg will order a bunch and we can decide what to
    charge at the Classic based on their quality.
    Team Building Activities:
    Ice Time – once the schedule comes out of all the Meets, we can decide the two
    Fridays and Kate will arrange.
    Glow pool Party – will need to pick a date for that.
    Banner party – a day or two prior to the Classic
    Dates for Meets: November 15, 16 , 17 – Classic – vendors book by Coach Jen.

January 10, 11, 12 2025- January Blitz
February 21,22, 23 2025 – Silvers – Coach Jen to confirm we are not a
part of this? Can’t be done at the VAC pool – it’s a boys varsity section meet. Location TBD
March 28,29, 30 2025 – Bronze – we are co-hosting at the Orange

County Community College.
Kitchen – still need to purchase one large coffee pot brewer, decide food for the Classic.
New Coaches report – Deb Gonzales, Dylan Gillespie
No fees this year for ALL meets – need to explain the cost savings to the parents.
Technology Report by Lena – Team Unify will charge extra $50 per month and we would rid
of paypal and stripe. Agreed to stick to current payment options and table using Unify for
this year.
